Connecting to campus UMail requires a client which can properly implement Two Factor Authentication (2FA/DUO/OAuth2). Though there are several clients which meet this criteria, we recommend using MS Outlook.
Outlook is available for Windows and Macintosh systems. Instructions for setup of Apple Mail is included here, but we do not recommend the client, due to its occasional finicky interactions.
Configuring Outlook client
Whether you download the free Outlook client from the Apple Store, or use the University’s Microsoft 365; when you first open Outlook, you will be prompted to connect to an account.
- Enter your <unid>@umail.utah.edu address and click on “Continue”.
- A pop-up will ask you to authenticate with Campus services. Enter your email again and your password.
- You will be prompted for Duo authentication.
- You will be prompted to add this authentication to your computer. Add the authentication to your system.
That is all the is required and your Outlook client is now connected to your Umail account.
Configuring Apple Mail
Though we do not recommend the client, we understand that many people prefer Apple Mail to other E-mail programs. Setting up Apple Mail for Umail is quite simple, but you are warned that you may experience odd behavior from time to time with the client, that we cannot resolve.
- Open Apple Mail, select “Microsoft Exchange” and click “Continue.”
- Enter your full name in the “Name” field and enter your <unid>@umail.utah.edu account. You will be prompted for your password after you click on “Sign In”.
- A pop-up dialog will require you to login to campus services and authenticate via Duo.
- You will then receive a “Permissions requested” dialog. Accept the permissions request.
Once this is done, Apple Mail should spend a little time synchronizing to your Umail account and you’re all set.
Configuring Evolution-EWS
The best free client we’ve found in Linux for directly connecting to UMail is the Gnome application, Evolution, with the EWS plugin designed for it. Both Evolution and Evolution-EWS (the plugin) are available as standard packages in most Linux distributions, for easy installation. Once the plugin is installed, it is seamlessly integrated with Evolution and no special procedures are required to enable it. (Note: Evolution can be run under any window manager and desktop environment. It does not require that you run Gnome as your desktop.)
When opening Evolution for the first time, or creating a new mail account from the Accounts menu item under the Edit menu, you will need to enter a name for the account, your full name and email address. The name of the account is completely your choice, as it only identifies the account in Evolution and has no bearing on server interaction. Your email address can be in the form <unid>@umail.utah.edu, but you may also use any valid alias you have setup in UMail. The Optional Information (such as Reply-To and Organization) do not need to be filled.
Under the Receiving Email tab of the Account Editor, you will need to fill out two fields and a pull-down menu item. First, you must enter your username as <unid>@umail.utah.edu and no other alias. This is required for proper account connection. In the Host URL field, enter “https://outlook.office365.com”. (Note: on occasion, this URL may not work the the particular build of Evolution you are using. If you have problems with the regular Host URL, using “https://outlook.office365.com/EWS/Exchange.asmx” should work.) Click on the pull-down menu for Authentication and select “OAuth2 (Office365)”.
Once you are certain that your Username, Host URL and Authentication are properly set, click on the “Fetch URL” button. Evolution should finalize its settings and you will be presented with a pop-up login for UMail via DUO authentication.
Once logged in, Evolution will be interfaced with both your UMail account and your calendars.
Configuring Thunderbird
At this time, IMAP is being depreciated from MS Exchange, so Thunderbird connections through IMAP will no longer work. If you want to use Thunderbird with UMail you must purchase and download a plugin, such as ExQuilla or the OWL plugin (yearly subscriptions for either).
Both ExQuilla and OWL have a free trail period, which can be used in the process of transferring your old Email to UMAil.
Transferring Your Old Email to UMail
If you want to transfer your old email from the KSoC system to UMail (not a requirement), follow these instructions for migration.
Connecting to your old UMail Account
If for any reason you don’t have your old KSoC account connected in Outlook or an other client already, add the account with the following settings:
- Incoming Server: imap.cs.utah.edu on Port 993 using SSL/TLS encryption.
- Outgoing Server: mail-svr2.cs.utah.edu on Port 587 using STARTTLS (some clients may still refer to this as SSL)
